  • Now you can see the granular details of your Outstanding Liabilities (including cancelling issued Gift Cards)
  • We've made it so everyone currently with access to Club Memberships also has access to Messages (it turns out club members like the feature but many bosses hadn't granted their club managers access to the Messages section so they could reply)
  • To reduce the chance of Messages accidentally getting Marked as Read, now when you open Messages you have to click on a message to read it (previously it would auto-open the newest unread message and mark it as read)
  • We've fixed a bug that was causing Account Migration to fail

Outstanding Liabilities

If you head into Settings > Loyalty & Credit and scroll to the bottom you (or your accountant) can see all Outstanding Liabilities - i.e. Gift Cards that have been sold but not used, Credit that has been granted but not used:

We've now added the ability to see more detail behind these totals and export those details to CSV so you have visibility of:

Gift Card Created: when a Gift Card was created / sold

Credit Created: when credit was manually granted, automatically issued by the system, or transferred from a PDF Gift Card to a customer's account

Expiry: the Expiry date of a Gift Card and/or Credit Balance

Gift Card Code: the Gift Card ID

The ability to manually Cancel a Gift Card - eg. if you sold a $100 Gift Card on your website but redeemed it on an external system (eg. in the restaurant which might not be being powered by WithWine):

Source Order: the Order in which the Gift Card was sold or the Order off the back of which auto-Loyalty Credit was issued

Gift Card Amount: self explanatory

Current Credit Balance: eg. the Gift Card might have been originally worth $500 but $250 of it is still available on the customer's Credit Balance

Credit Source: Whether the Credit Balance was:

  • Purchased: i.e. a Gift Card was purchased and the value has been transferred to the customer's Credit Balance
  • Manual: Manually issued by a staff member
  • Loyalty: System issued by the Loyalty Program capability
  • Import: Imported to WithWine via a CSV upload

Credit Class: What the customer can spend the Credit Balance on

Credit Comment: Any notes that may have been added by a staff member when manually adding to a customer's Credit Balance

Credit Issued By: The staff member who manually added credit to a customer's account

Credit Email: The customer account on which the Credit Balance sits

FRIENDLY REMINDER

You generally wouldn't charge GST / Sales Tax on Gift Card sales, in which case you would want to add your Gift Card product/s to a Product List (type: Tax) with Sales Tax set to 0%. Make sure you speak with your accountant / tax specialist about how to correctly account for Gift Cards and other credit products.

Messages

Customers have been quick to use the WithWine app to message their favourite wineries... but we noticed that some wineries were missing some of the messages because when they opened the Messages screen it instantly Marked as Read the latest unread message. Now it doesn't.

Handy Hint: if you want to come back to a customer's message later, you can click on the three little dots beside their message and Mark (it) as Unread so you can remember to come back it:
