Summary

  • Vintner 1.2 update is now available on the App Store
  • Now on Vintner you can pass on a credit card fee to customers
  • You can also charge additional Surcharges, eg. Public Holiday Surcharge
  • We've added reporting for both within the Orders screen and Detailed Summary
  • Now you can override the Channel on Vintner (eg. if you want a sale to count as a Club order instead of a Tasting Room order)
  • If you need an "Other" payment type in Vintner, we can switch that on for you
  • Now you can chose which day of month you'd like auto-recurring order clubs to be charged
  • You can also bulk update schedules and future charge dates
  • Now you can post a new Club Run for members that might still have a previous club order yet to be delivered/picked up
  • The system now sends credit expiry reminder emails to customers
  • We've made small look/feel changes and improvements to some of the buttons within the Customers, Club Members and Orders screens
  • Various small bug fixes

Vintner

Vintner 1.2 is now available on the App Store for download.

Pass on a Credit Card fee to customers

To switch it on, simply head into Settings > My Brand > Taxes & Surcharges > Click on the selector button to open the sub-options (when you first get to that screen, the selector is on Taxes):

Click on Card Processing Fee. The name and SKU can be edited from their defaults, but the business end are these two fields:

You can set a simple %, a flat rate $ surcharge or both.

When you go to collect a credit card payment, the terminal will automatically increase the charge amount by your configured rate.

Reporting for Card Processing Fees is included in the Orders reconciliation dropdown and the Detailed Summary management report.

Please note: Card Processing Fees do not contribute to your Order totals, but we do provide the amounts charged so you can reconcile your deposits:

In this example above, you can see that the total Order value of $181.50 plus Card Processing Fees of $3.72 make the total payments processed by WithWine (Stripe) worth $185.22.

Card Processing Fees are also added to the customer's receipt.

Please check your local laws regarding what fees you're allowed to pass on, the limits to those fees and what notifications you must display to customers.

Surcharges

Click on the selector button and then Add Surcharge:

Next, you'll want to add a Name for the Surcharge, a SKU and nominate its tax treatment:

Re tax treatment, it can either be No Tax, or "Apportioned based on line item" - that means, if an order has two items but one of them isn't taxable, then the same portion of the surcharge will also not be taxable.

Eg. A $100 order has $90 of wine (which is taxable) and $10 of Olive Oil (which is not taxable), and a 10% public holiday surcharge is applied ($10), and need to add 8.5% tax to the order, the system will add $0.765 tax to the Surcharge (90% of the $10 charge is taxable... $9 x 8.5% = $0.765).

You can also nominate which Channels you want Surcharges to. Examples:

  • Apply a Public Holiday surcharge to orders placed via POS
  • Apply a Shipping & Handling surcharge to Website orders
  • Apply a bottle deposit scheme surcharge to be applied to all orders across all Channels

You can even apply surcharges to specific products within Orders using Product Lists!

When checking out on Vintner, the Surcharge amount is highlighted in the Cart Summary:

If need be, the staff member can remove the Surcharge via a new menu item:

Channel Override on Vintner

Now you can override the Channel an order placed via Vintner is attributed to:

Some example use cases:

  • Sales reps can now use Vintner to place Wholesale orders when they're out on the road
  • If someone comes into the Tasting Room and you want this Order to count as their next club order, you can select the Club Channel and the system will automatically update their next charge date (including for those in a schedule)

Auto-Recurring / Standing Order wine club updates

We know this one will make a few people happy...


If you were using Scheduled charge dates for auto-recurring wine clubs, the default charge date was the 20th of the month. Now you can nominate your preferred charge date and time.

Here it is with the Club's settings page:

You can also update members' assigned Schedules and Next Charge Dates in bulk.

Head to the Club Members screen and you'll see we've bundled the Bulk Actions into their own button and that there's a new bulk Action:

Once clicking on that, you can amend the Schedules people are in and/or update their Next Charge Date in bulk:

Example use cases:

  • if you're not currently using Schedules but want to start, you can create the Schedules within the Club's settings, then update all your members so they each have an assigned Schedule
  • If you have a schedule that lands on the 15th of December, but you want to get the pack out by the 1st, you can update the December charge date for everyone in that December Schedule!

Create new Club Runs despite unfulfilled Orders

Turns out, quite a few club members would opt to pick-up their club shipments from the Tasting Room, but take a little too long to collect... which prevented a winery from including them in the next club run; so we have removed this overly-safe guard (but we do still display a warning):

Credit Expiry Emails

On email receipts, we always included Credit Amount Earned (if there was any credit earned against an order) and current Credit Balance. We have now added the earliest expiry date:

WithWine now sends out automated Credit Expiry Reminder emails. The wording of which can be tweaked to your liking within Settings > Email Templates:

While we're on the Email Templates screen, you are now able to revert them back to their defaults:

Small look & feel updates

Firstly, when we tucked the filters behind a button we made that button a little too minimalist and people couldn't work out where it was... so we've changed it to make it more obvious (1).

We've made it so the pink action buttons on all screens now dynamically adjust their width according to the size of your browser window... basically so they look nicer when the window is shrunk / narrower (2).

In the same area, you'll see we've also tucked the Show/Hide Additional Columns button behind a new minimalist button (because it's used very infrequently, we thought it would be OK to lean into the minimalism for this one!).

Vintner POS Update

There is a new update available for Vintner on the App Store v1.1.4.

  • Fixes an issue were some people weren't able to see the Logout button (thanks Saddler's Creek and AvinoDos)
  • Fixes an issue were some people with unusual combinations of Language and Region settings were having trouble logging in (thanks Petersons!)

New Filter on Club Members screen

Now you can filter your Club Members by who signed up the member.

Head to Club Members and find the dropdown "and signed up by" and you can see which members signed themselves up or which staff member signed them up.

New Addition to Venues screen

Keen observers will find new tables in the Venues and Stock Locations settings screens. These are for third-party festivals and events:

If someone hosts a festival or event at which multiple wineries are in attendance, we can create an Event (on our end) and add the attending wineries to that Event. This then creates a Third Party Venue on your end, which you can log into and attribute sales against on your Vintner POS.

This enables us to capture event data in aggregate for the organisers and attending wineries to better understand how successful the festival / event was:

  • how much was sold at the event?
  • how much did the average winery sell?
  • how much did the average customer spend?

...and more importantly:

  • what was the $ value of orders placed by festival/event goers 24hrs, 7 days, 1 month and 1 year after the event?
  • how many new club signups derived originally from that event?
  • And so on...

This is going to be a pretty big feature for us going forward (it even gets its own section on our new website) so expect to see us referring to it more often going forward!

Back Office Updates:

  • Now you can edit the "Processed by" attribute for Orders
  • Now Receipts (A4 and Thermal) show a Refund Status (thank you Giant Steps)
  • You can further tweak the wording on Newsletter Confirmation emails (thank you Cinderella)
  • We've added a counter to the Cart tab for Back-Office/Phone orders (thank you Cinderella)
  • Advanced Prices are now Available Prices and a base price is set automatically when a product is made Available for Sale

Vintner POS Updates:

Vintner updates are in v1.1.2 Available on the App Store.

  • Now you can view more information re the Stripe Payment attached to an Order (thank you Rieslingfreak and Byrne Farm)

  • Now we provide a Subtotal for every product in the Cart, not just those that have been discounted (thank you Pressing Matters)
  • Now when a club member is signed up mid-order, the credit card used for the Club can instantly be used for Card-on-File payment of the Order you were in the middle of (thank you Pressing Matters and Wren)

We think this little update will make more than a few of you happy campers:

  • The display order of products in the selection form can now (finally) be customised
  • You can now schedule the sending of the selection email

Customising Display Order:

When you're adding products that customers can select from, you can either drag & drop products into the order you want them to be presented, you you can move-up / move-down.

Eg. You might want Mixes up the top, or you might want to show whites first and reds second. The choice is now yours!

Scheduling Club Selection Emails

To date, when you post the club run, the system instantly sends the selection email... now you can schedule it:

Simply click the Set Schedule button, then select the date and time you'd like it to be send.

Updated Australia Post integration

New Australia Post integration to comply with Victorian regulations

Victoria has recently updated their requirements for alcohol shipments to the state and to comply, shipments must now be marked "Deliver to Addressee only".

We took this opportunity to rebuild our Australia Post integration (which you'll notice is much faster than the old one.

TO BE COMPLIANT YOU WILL NEED TO CONNECT YOUR AUSTRALIA POST ACCOUNT TO THE NEW PLUGIN IMMEDIATELY.

Head into Settings > My Brand > Shipping > Scroll to the bottom > Click Add Shipping Provider > Choose Australia Post and fill in that form.

You will need your Australia Post API credentials - they're the same as what you needed for the old one, so everyone will have them already, but if you don't here are some steps:

For those using Fastway/Aramax, there is no action required.

Now you can Pin Notes in the CRM

Within a customer's Profile in the CRM, you can now Pin a Note (or multiple notes) so they appear at the top of their profile:

Need to ensure an important Note doesn't get missed? Just Pin it.

In case you didn't know, you can also Reply to a Note so you have an audit trail:

While we're here... someone asked us after a previous update "How did you get those sub-categories under Customers, and Orders?".

If you find yourself using the same combination of Filters again and again, you can simply create a Saved Search:

A swath of updates and improvements are now available for Vintner on the App Store:

New Additions:

  • Pay with "card on-file" payment options (long press on the Payment button)
  • Pay by typing in a credit card number (long press on the Payment button)
  • A customer's previous orders are now visible with a customer's profile
  • You can now start a new Order from the a customers profile
  • There is now an option to cancel tip collection and return to the basket view

Improvements:

  • We've made some improvement to Filters with more to come (thanks Paxton and others)
  • Now Venue lists are sorted alphabetically (thanks Petersons)
  • Product title sanitization; will now suppress duplication of brand name, appellation and varietal in product listings throughout (thanks Punt Road)
  • Display of numeric keyboard when large size dynamic type is enabled (thanks Pooley)
  • We've improved the presentation of coupons, separating expired coupons into a new section (thanks Punt Road)
  • We've improved the presentation of Tap to Pay on iPhone card reader settings
  • Now you can swipe-to-delete items in the Cart (thanks Paxton)
  • We've added club membership statuses to the customer profile (active/paused/cancelled) (thanks Deerfield)
  • We've improved the indications of order success - the success banner is bigger, more colourful and now tappable (thanks Rieslingfreak & Byrne Farm)
  • We've added more to the historical order detail view (tip collected, total collected by method, order fulfilment status)

Fixes:

  • Issue where tips may not be directly recorded in some transaction types (thanks Sky Valley Cellars)
  • Handling of guarding against minimum card transaction amounts (thanks Byrne Farm)
  • Issue where keyword search using a sanitized display name reference, rather than the value provided leading to incomplete search results (thanks Punt Road)
  • Issue where tip collection prompt may be presented when using Tap to Pay on iPhone and no tipping is configured (thanks Petersons & WiseWine)
  • Issue where attempting to assign subsequent product filters may not elicit change in presentation
  • Issue where a customer's club membership information may not load correctly

New Checkout and Club Signup screens... and more

SUMMARY

  • We have re-built the Checkout and Club Signup screens from scratch - now they're prettier, easier to use and faster to fill out
  • You can now Archive old Products
  • When a club member's payment fails, you can now set it up so they receive a notification email
  • More speed an performance improvements

New Checkout and Club Signup screens

Account Administrators will now see these switches when they login:

Because these changes are quite significant, we wanted to give people an opportunity to get used to them before making them the default across the platform. For the next few weeks you can switch between the old and the new screens.

You'll notice the new screens are much prettier, easier to use and faster to fill out (especially on mobile!).

Firstly, we've moved the Cart Summary to the left and grouped it with all the things a customer could use to affect how much they need to pay, such as the Coupon Code and Gift Card fields and the Credit Balance field.

On the right hand side, we've made the Delivery / Pickup option the very first thing they see (it defaults to Delivery) so that customers can use the WithWine app to self serve while they're in the cellar door.

We've replaced tick boxes with switches which are much more intuitive for the user.

For the Club Signup screens we have also added a Summary to the left hand side that populates as the signup form on the right is populated:

It is now much clearer what needs to be done on the form and if there is only one option (eg. one schedule) to choose from, it is now chosen by default.

For automated subscription clubs, the bottle selection page now also includes a search bar and filters so customers can find what they're after quicker:

As well as enhancing the experience on your website, these screens carry through and improve the Checkout and Club Signup experience for:

  • Back-office / Phone sales and club signup
  • Vintner club signup
  • WithWine app Checkout and Club Signup

Archiving Old Products

Yes... this has been a long time coming! We're sure many will be pleased to learn that you can now Archive old Products from within Setup > Products screens:

Archiving a Product will remove it not only from the Setup screens, but also anywhere else there's a list of your inventory (eg. Setup > Clubs > Products Available for Selection; Customers > filter by Products; Post Club Run > select which products to add to the Club Run).

(You'll also notice in the screenshot above that we have also fixed up the data displayed in the eCommerce Availability... and give it another week or so and there will be a new Price column).

Payment Failure Emails

Some people want this and some people don't, so the feature is switched off by default... but you can now have the system send out a "Your payment failed" email when a club payment fails.

The setting is in Settings > Clubs > Select club > scroll to the bottom of the page:

Of course, you can edit the text of these emails within Settings > Email Templates > Club Member Payment Failure Notification:

To avoid Spoofing / Phishing security risks, our default text does not include links to your website or display your business phone number - we highly recommend clients do not add them.

Vintner now on App Store

v1.0 of WithWine's new POS app, Vintner, is now available for download on Apple's App Store.

Vintner is still in BETA but this is its first step to becoming more official.

Download the app on iPhone, iPad or a Mac with an M-Series chip and become enthralled with how we've managed to fit all the smarts of WithWine into something that is so simple to use.

We encourage everyone to start using Vintner as their new daily POS app. wwPOS will continue to work until 30 June 2025.

Please note that BETA means not finished and not perfect (but it's almost perfect), as such it does not yet support:

  • Fast User Switching
  • Split Payments
  • Restaurant POS: Preparation Queues & Open Orders
