Within the Orders side panel, there is a new tab:

In that tab we now display the details of any Gift Cards that were purchased and / or Credit that was earned (as well as any associated activity relating to that Gift Card or credit).
A few examples:



It happens semi-regularly where a winery will want to see what's become of a Gift Card that was purchased by a customer (who only has the Order Number or their email address), so now you can see all that detail within the Order detail itself.
We were never terribly proud of the of version 1.0 of the look and feel our Advanced Shipping capabilities. One of the problems with building something so capable and flexible, is presenting it to you in a user interface that is easy to understand. So we've improved it.
In case you didn't know or weren't aware, our Advanced Shipping module is available to all customers at no additional cost. Shipping rates can be set according to where an order is being shipped (eg. a Country or a zip/postcode range), what is in the order (eg. "more than 6 bottles" or "more than 3 bottles of sparkling"), who has placed the order (eg. "Club Members" or "people tagged as Locals"), what shipping carrier has been selected (eg. USPS or FedEx) or a combination of any of these. Please reach out to us if you'd like us to switch it on for you.
The Shipping screen now looks less intimidating and the tooltips help explain what each section is for:

And now it's MUCH easier to understand the Rates screen and re-order rates now that the data is presented in a table format:

We're so thrilled with how much people are loving our new POS app, Vintner. Even though it's in BETA we love hearing how clients are now using it as their primary "daily driver" POS instead of a new play thing on the side. The main reason for this, aside from how pretty it is to look at, is how much speedier it is to Checkout... and people are loving the Tap to Pay on iPhone!!! We've had people sign up to WithWine just for that.
We love hearing your feedback and making this the best POS for wineries on the market. So now it's time for some updates:
We want Vintner to be as intuitive as possible - it makes life less stressful for new staff and that reduces the change management headache for managers / owners.
To add a Customer to an Order, we previously used an icon:

It quite quickly became clear that the function that button served was not obvious enough... so we have changed it. Now to add a customer to an Order, you tap the prominent Add Customer button that is now front and centre at the top of the screen:

In the old icon's place, we've added a new feature: a connectivity status indicator for Payment Terminals, Printers and Internet.
Green is "Ready", Orange is "working on it" and Red is "Not Connected":

You can also tap on the indicators to get quick access to the Settings for each:

We've changed the Product Detail view so now when you tap on a product a modal pops up which contains additional information for that product including Variations (eg. available Glasses or Magnums) and for Mixes, the items in the mix (which is cool):

The first implementation of Manual Discounts had you tap the three dots beside the Pay button > then select Discounts > then enter the discount amount > then decide whether that discount was an absolute $ discount or a % discount using the Keyboard that popped up:

We liked it, but the fact the toggle between $ and % existed on that keyboard, wasn't as obvious to most users as we wanted... so we changed it so now you're selecting what type of discount it is within the top menu:

In case you were wondering, the release we did last week for Dynamic Product Lists is already compatible with both wwPOS and Vintner.
Thank you so much to all our BETA users. In the coming weeks we will be putting a build of Vintner up on the App Store so you don't need to muck around with TestFlight anymore.

For those who have asked, we are planning to give you the ability to Surcharge customers for credit card fees. Please watch this space.
Product Lists are incredibly versatile and useful. What's great about them is how one list can be used for so many different things. Eg. If I create a list called "February Highlights" with 5 wines inside, I can make that list
In the past you would need to manually add and remove and sort products in a Product List. Now you can create a list and have WithWine automatically/dynamically add/remove products and sort them based on their metadata.
Example 1: You might want a list called "Chardonnay" and every time you create a new chardonnay product, it automatically gets added to that list.
Example 2: You want a list that auto-adds any product with the word "Glass" in its name.
Example 3: You want a list that auto removes anything that's no longer Available for Sale.
Within the Select Product section of the Product List's settings page, there's a new dropdown with the following options:

And under that are all the all the variables you can set for Dynamic Product List:

You can add one variable or a combination of variables.

Because the system is automatically adding and removing products from the list, you can also set it to automatically sort the list one or more ways:

We think this is going to be an awesome addition for Product Lists that will help make your life easier and your business more efficient 🤓
Within Settings > My Brand > we've changed the Taxes button to Taxes & Surcharges:

(Sidenote: as part of this project, we also made the Taxes functionality much easier to use/navigate).
(Sidenote: Surcharges applied via POS will be supported in an upcoming update to Vintner - that is why Surcharges is officially still in BETA).
When you click into Taxes & Surcharges, the page defaults to Taxes but you can click on the pink button up the top to instead work on Surcharges:

If you click on Add Surcharge, you are then presented with this form, in which you can fill in the details of your new Surcharge product:

Generally, when charging a Surcharge you need to add Tax to the surcharge amount, but only if the Surcharge is being applied to a taxable item. This is what the "Apportioned based on line items" option is for.
Eg. If an order is for $100 of wine, and a $10 surcharge is applied to the order, sales tax would be added (or included) to the entire $110. But if $50 of the order was for wine and the other $50 for an item on which sales tax isn't added (eg. bottles of water), sales tax would only be added to $5 of the $10 Surcharge.

Once that's done, you can set a default Surcharge for all Channels or individual Channels:

But if you want to apply a Surcharge to customers in a particular state you can Add Country then set a Surcharge to individual states:

In the past, the "Reserve" Stock Movement was used to reserve wines that customers had selected if they're part of an editable Winemakers Pack wine club.
We have now made it so the Winemaker's "Default" selection is also reserved.
For Wordpress website users wanting to track the success of different "Join Our Mailing List" forms, we've added a parameter to add a customer tag. This is configurable via Settings > Website > Custom Credentials & Configuration:


When WithWine started the Customers screen had 7 filters... now it has 11; the Club Members screen had 3... now it has 10; and the Orders screen had 4 which has now grown to 12.
Our filters are awesome but they've started taking up a lot of room on the Customers, Club Members and Orders screen, which was particularly frustrating for those who don't use them as often thanks to Saved Searches.
So we've cleaned things up by tucking the Filters behind an accordion. Now, to reveal the filters simply tap on the button with the three dots next to the Search button in the top right:

WithWine makes reconciling your deposits a breeze when you head into Orders > "Show Orders for [Company Name]" > then select the deposit you're wanting to reconcile.
The problem was that the system was retrieving a list of every deposit ever made into your account and as a result, the loading times started to take too long.
We've now made it so it loads the last 100 deposits and if you want to go back further you can now "Load More"

You mightn't care, but the green square tick boxes with the sharp corners were annoying us... so we changed them to something that looked like they "belonged", from this:

We've got some great updates for you to kick-start 2025 and more on the way...
On Christmas Eve we opened the BETA of our new POS app, named Vintner, to the broader base of clients.

We have been thrilled by the overwhelmingly positive response we've had from our customers. The Tap-to-Pay on iPhone is certainly proving to be a hit! 😍
We said an iPad version would be ready for people to start using (in BETA) in January... and now it is.
Sticking with the streamlining and "fewer clicks" theme, Vintner on iPad now has one screen to navigate and, due to popular demand (read: customer feedback), products are displayed in a grid layout.
You can search for and add customers mid-order:
And other gaps that have been released since Xmas include the ability to add Tags, Notes and - new to POS - Replies to Notes within a Customer's profile:

In the same way we're making the most of what the iPhone has to offer (eg. Tap-to-Pay on iPhone) we're making the most of the iPad's latest capabilities including Split View, which lets you run two apps side by side on the one screen:
And of course, it works great and looks lovely in both landscape and portrait modes.
One more thing about Vintner that people mightn't be aware of is that one user can now be logged into more than one device at a time.

There are going to be some products you don't want or need to track Stock for, such as Gift Cards, pizzas and cappuccinos.
We've now made it so you can turn Stock Tracking On/Off within a Product's setup page in the Stock accordion:

As a few people know, we have been working on a new POS app throughout 2024. We made the app available to a few clients in BETA a couple months ago, and today we are excited to expand the BETA to the broader client base.
For those who don't know, BETA means "not finished and not perfect" but we're confident it's at a level of polish now that more people can start playing with it.

Within your Club's settings (down the bottom in the Advanced section) for the last few years you've been able to turn on Auto-Retry Failed Payments. Turning this on will have WithWine automatically retry failed club payments twice with 24 hour gaps in between. i.e. if the charge date is 10am on the 1st of the month, it will retry at 10am on the 2nd and if that fails, again at 10am on the 3rd.
Note: If you want a different retry schedule, let us know because we can override the default on our end (eg. instead of two retries with 24 hour gaps, you might want three retries with 48 hour gaps).
Today we have also released the ability to manually retry failed club payments in bulk.
There's a new button within the actions menu of your Club Members screen:



While WithWine doesn't have (and never will have) all the capabilities of dedicated emailing packages like Mailchimp, 95% of our clients have decided "it sends emails just fine, which is what I need it to do".
(Side note: We do integrate with Mailchimp and can integrate with any other email platform if required)
But a frustration for many has been that they'd spend an amount of time curating an email to send to Group A, but want to send the same email with a few minor tweaks to Group B... without re-doing everything.
That is what this update solves.
In both the Customers and Club Members email composer there is this new button:

Clicking on this brings up a modal in which you can find a Draft or previously Sent email that you'd like to re-use as a template for a new email:

You can Preview an email to make sure you're picking the correct one within that modal:

And when you Select the one you want, it will copy everything (including HTML) into a new Draft that you can edit / tweak:

Pro Trip:
With this new capability, it means that if you have a template/s you use repeatedly, you can save them within WithWine and bring them up whenever you need them.
Eg. if you have a standard "Welcome to the wine club" email you send out to all new members once a week, you can simply:

If you head into Settings > Loyalty & Credit and scroll to the bottom you (or your accountant) can see all Outstanding Liabilities - i.e. Gift Cards that have been sold but not used, Credit that has been granted but not used:

We've now added the ability to see more detail behind these totals and export those details to CSV so you have visibility of:
Gift Card Created: when a Gift Card was created / sold
Credit Created: when credit was manually granted, automatically issued by the system, or transferred from a PDF Gift Card to a customer's account
Expiry: the Expiry date of a Gift Card and/or Credit Balance
Gift Card Code: the Gift Card ID
The ability to manually Cancel a Gift Card - eg. if you sold a $100 Gift Card on your website but redeemed it on an external system (eg. in the restaurant which might not be being powered by WithWine):

Source Order: the Order in which the Gift Card was sold or the Order off the back of which auto-Loyalty Credit was issued
Gift Card Amount: self explanatory
Current Credit Balance: eg. the Gift Card might have been originally worth $500 but $250 of it is still available on the customer's Credit Balance
Credit Source: Whether the Credit Balance was:
Credit Class: What the customer can spend the Credit Balance on
Credit Comment: Any notes that may have been added by a staff member when manually adding to a customer's Credit Balance
Credit Issued By: The staff member who manually added credit to a customer's account
Credit Email: The customer account on which the Credit Balance sits

FRIENDLY REMINDER
You generally wouldn't charge GST / Sales Tax on Gift Card sales, in which case you would want to add your Gift Card product/s to a Product List (type: Tax) with Sales Tax set to 0%. Make sure you speak with your accountant / tax specialist about how to correctly account for Gift Cards and other credit products.
Customers have been quick to use the WithWine app to message their favourite wineries... but we noticed that some wineries were missing some of the messages because when they opened the Messages screen it instantly Marked as Read the latest unread message. Now it doesn't.
Handy Hint: if you want to come back to a customer's message later, you can click on the three little dots beside their message and Mark (it) as Unread so you can remember to come back it:

Following on from our last released, we have now added the ability to add/edit a product's stock levels from within the product's setup screen.
This is how it looks for a new product:


All the fields start at zero (0) and you can add the values which will be saved when you Save the product.
For an existing Product, it looks like this:

i.e. the Stock levels at each location are displayed and you can perform either a Movement or a Transfer without needing to go into the Stock screen.
This, coupled with the cleaning up of the Product Setup screens and support for adding a product to a Product List within a Product Setup screen is another small but high-impact improvement we hope you enjoy!
